Full Time at Commercial Property Management

Within the spirit of “Making People’s Dreams Come True”, this position schedules appointments, provides administrative assistance to Property Managers as well as Facilities Managers and delivers Raving Fans Customer Service to internal and external customers.


Responsibilities for this position include:

Answer and direct phone calls

Organize and schedule appointments

Plan meetings, agendas and take detailed minutes

Write and distribute email, correspondence memos, letters, faxes and forms

Assist in the preparation of regularly scheduled reports

Act as the point of contact for internal and external customers

Input, distribute and maintain all purchase orders, facilitate renewal or bid contracts, compose, type and route all correspondence

Read and route all vendor information, incoming mail and service requests

Maintain various spreadsheets for Tenant contracts

Process invoices, accept Lease payments, Tenant sales reports and maintain database

Locate and attach appropriate file to correspondence to be answered by Property Manager or Director

Conduct research, compile and type statistical reports and routine correspondence

Maintain Tenant insurance logs and information, updates, corrections and follow up

Maintain Facility files, Lease files, contacts and other records as necessary

Coordinate facility key sign out with CPM Receptionist

Cover front desk on a periodic rotation basis

Act as back-up for other Administrative Assistants as needed



Associates degree (A.A.) or equivalent from two (2) -year college or technical school; or one (1) to two (2) years related experience and/or training; or equivalent combination of education and experience.

Knowledge of office management systems and procedures

Working knowledge of office equipment, like printers, copiers and fax machines

Excellent time management skills and the ability to prioritize work

Attention to detail and problem solving skills

Excellent written and verbal communication skills

Applicant must have strong working knowledge and use of Microsoft Office software including Word, Excel, and Outlook as well as excellent written and oral communications skills.
